HOW MANY POSTERS SHOULD YOU PRINT FOR A CONCERT OR EVENT?
Printing too few posters can mean leaving sales on the table.
Printing too many can leave an artist, venue or promoter storing boxes of inventory long after the event ends.
The right quantity depends on more than attendance. You also need to consider the audience, artwork, price, event type, merchandise selection and whether the poster will remain available after the show.
START WITH EXPECTED ATTENDANCE
Attendance gives you the largest possible pool of buyers, but not everyone at the event will purchase merchandise.
Even fewer people may purchase a poster specifically. Some fans will choose apparel. Others may already have a favorite item in mind. Couples and groups may purchase one poster together.
Use expected attendance as a starting point, not as the final order quantity.
A 500 person event does not automatically need 500 posters.
ESTIMATE THE NUMBER OF POSTER BUYERS
Instead of asking how many people will attend, ask how many attendees are realistically likely to purchase this particular poster.
Consider:
How established is the artist?
Does the audience already collect posters?
Is the artwork connected to one specific performance?
Is the poster exclusive to the event?
Will the artist sign or number the edition?
What other merchandise will be available?
How prominently will the poster be displayed?
Is the price appropriate for the audience?
The stronger the artwork and the more meaningful the event, the greater the potential demand.
USE A RANGE INSTEAD OF ONE PERFECT NUMBER
There is no universal percentage that works for every concert or event. Create a conservative, expected and optimistic estimate.
For example, imagine an event expecting 500 attendees.
If 5 percent purchase a poster, that equals 25 posters.
If 10 percent purchase, that equals 50 posters.
If 15 percent purchase, that equals 75 posters.
This does not mean those percentages will apply to your event. The exercise simply shows how different buying behavior changes the quantity you may need.
Once you have a reasonable range, you can compare the potential sales opportunity with the cost of printing and carrying the inventory.
CONSIDER THE TYPE OF EVENT
A poster for one concert behaves differently from a poster used across an entire tour.
SINGLE CONCERT
A poster created for one specific night can feel exclusive and collectible. Demand may be concentrated at the event and immediately afterward.
TOUR
A tour poster may be sold across multiple cities. The quantity should account for the number of shows, expected attendance and how inventory will be transported and replenished.
FESTIVAL
Festival posters may appeal to attendees who want something representing the entire event. Demand can be affected by the lineup, artwork, edition size, festival length and available merchandise mix.
VENUE OR EVENT SERIES
A venue may use posters for promotion, merchandise or both. Quantities should be divided between advance distribution, event sales and any copies reserved for artists, staff or archives.
LIMITED EDITION RELEASE
A deliberately limited edition creates a clear boundary around supply. The number becomes part of the product itself and should be chosen intentionally.
DO NOT FORGET PROMOTIONAL COPIES
Not every printed poster will be sold.
You may need copies for:
Venue promotion
Artist and designer copies
Sponsors or partners
Media and giveaways
Photography and marketing
Damaged or imperfect replacements
Archives
Future fulfillment
Account for these before deciding how many sellable copies will remain.
BUILD IN A PRACTICAL BUFFER
If your expected sales are 50 posters, ordering exactly 50 leaves no room for damaged copies, artist holds or unexpected demand.
A modest buffer gives the project flexibility. The appropriate amount depends on the total quantity and whether leftover posters can still be sold online or at future shows.
If the poster becomes irrelevant immediately after the event, be more conservative. If it can remain available through an artist store, venue shop or future tour dates, extra inventory may carry less risk.
THINK BEYOND THE NIGHT OF THE SHOW
A concert poster does not necessarily stop selling when the lights come up.
Remaining inventory may be sold through:
The artist’s online store
Venue ecommerce
Artist editions
Post show releases
Social media drops
Future merchandise tables
Poster collaborations
If there is a real plan for continued sales, the print quantity can reflect more than event night demand.
AVOID CREATING SCARCITY BY ACCIDENT
Selling out can generate excitement, but selling out immediately may also mean the edition was too small.
The goal is not simply to put a sold out sign on the merch table. The goal is to create the right amount of inventory for the audience and the project.
Intentional scarcity can add value. Accidental scarcity can limit results.
THE SHORT ANSWER
Start with expected attendance, estimate the realistic percentage of poster buyers and account for promotional copies, artist holds, damage and future online sales.
Then choose a quantity that fits the project’s risk, budget and sales plan.
A strong poster deserves a production plan built around more than a guess.
